Privacy Policy

This policy explains what personal information Zene Systems collects through this website, why we collect it, who we share it with and what your rights are under the Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

Zene Systems is a South African business that builds websites and CRM systems. For this website, Zene Systems is the "responsible party" under POPIA. Our Information Officer is the owner of Zene Systems. You can reach us through the contact form.

2. What we collect

We only collect what we need to reply to you.

• Contact form: your name, email address, what you need, and your message. Your business name and plan choice are optional. We also record that you ticked the consent and "18 or older" boxes.
• Technical information: when you load a page, our hosting provider and the services that deliver our fonts and code automatically receive your IP address and basic browser information. This is needed to show you the website.

We don't use analytics, advertising or tracking tools, and we don't collect special personal information (such as health or religious information).

3. Why we use it

• To reply to your enquiry and arrange a call.
• To prepare a quote and, if you become a client, to provide our services.
• To handle privacy requests.

We process your information because you've given consent, and because it's needed to take the steps you've asked for before entering into an agreement with us (POPIA section 11(1)(a) and (b)).

4. Who we share it with

We don't sell your information. We use these service providers ("operators") to run the website:

• Netlify: hosts the website and receives contact form submissions.
• jsDelivr: delivers some of the website's code files.
• Google Fonts: delivers the website's font.

Some of these providers store or process information outside South Africa. We only share what is needed for them to provide their service. You can read how each provider handles information in its own privacy policy.

5. Marketing emails

We won't send you marketing emails unless you've asked for them. Every marketing email we send includes an unsubscribe link, and you can also ask us to stop at any time through the contact form.

6. How long we keep it

• Enquiries that don't lead to work: deleted within 12 months.
• Client records: kept for as long as we provide services, and afterwards for as long as the law requires (for example, tax records).

7. How we protect it

We take reasonable technical and organisational steps to protect your information, including encrypted (HTTPS) connections. If we become aware of a security compromise affecting your information, we will notify you and the Information Regulator as POPIA requires.

8. Your rights

You have the right to:

• ask what personal information we hold about you;
• ask us to correct or delete it;
• object to how we use it, or withdraw your consent;
• opt out of marketing messages; and
• complain to the Information Regulator.

To make a request, use the contact form and choose Privacy request. We may need to confirm your identity before acting on it.

9. Children

This website is for adults. We don't knowingly collect information from anyone under 18, and our contact form asks you to confirm that you are 18 or older. If we learn that we have collected information from a child, we will delete it.
